RSVP Sorted is run by Sorted Design Studio CC, trading as RSVP Sorted, registration number 2007/244764/23, of 135 Main Road, Green Point, Cape Town, South Africa. This policy explains how we handle personal data, in line with the Protection of Personal Information Act (POPIA).
1. Two kinds of personal data
RSVP Sorted handles two kinds of personal data, and our role is different for each:
Account holders. If you or your organisation sign up to use RSVP Sorted, we hold your name, email, mobile number and billing details as the responsible party, to run your account and take payment.
Guests. If you are invited to an event through RSVP Sorted, your name, contact details and RSVP answers were uploaded by the events company or brand running that event ("the customer"). For guest data, the customer is the responsible party and RSVP Sorted is the operator: we process that data only on the customer's instructions, to run their event. Questions about your guest data are best sent to the events company or brand who invited you; we will also help directly on request.
Every customer confirms, when they upload guests and send invitations, that they have a lawful basis to hold and contact those guests.
2. What we collect
From account holders: name, email, mobile number, organisation details, and billing history. From guests: name, contact details, RSVP answers, dietary or other event-related answers the customer asks for, and a record of emails sent to them and how they were opened or clicked on.
3. Where data is hosted and sent
RSVP Sorted is hosted on a server in South Africa (xneelo). Emails are sent through Resend, a service based in the United States; sending an email therefore involves a cross-border transfer of the recipient's name and email address. We rely on this being necessary to perform the contract with our customer (POPIA section 72) for this transfer. Payments are handled by PayFast; RSVP Sorted never sees or stores your card number. Foreign-currency estimates shown on our pricing page are calculated from exchange rates only, with no personal data involved.
4. Email tracking
Invitation emails sent through RSVP Sorted use open and click tracking, so the events company running the event can see whether an invitation was delivered, opened or clicked. This is standard for transactional and event email and helps the organiser follow up with guests who have not responded.
5. Cookies and local storage
RSVP Sorted uses only the cookies needed to keep you signed in and to keep your session secure. We do not use advertising or analytics cookies. On the pricing page, your choice of display currency is remembered in your browser's local storage, on your device only; it is not sent to us.
6. Retention and deletion
Guest data for an event is kept for a set number of days after the event ends (90 days by default, or a different number the customer has set for their organisation or that specific event), then permanently deleted by an automatic nightly process. Deleted guest data may still exist in our database backups for up to 14 days after deletion, after which it is gone from those too. A customer or a guest can also ask for a specific guest's data to be deleted sooner.
7. Unsubscribing
Every invitation email includes a link to stop further emails about that event. Using it stops future sends for that event; it does not delete data already recorded, which follows the retention rules above.
8. Your rights
You can ask to access, correct or delete your personal data. If you are a guest, you can ask the events company who invited you, or ask us directly at privacy@rsvpsorted.co.za and we will pass this on or help directly. If you are an account holder, you can update most of your details yourself, or contact us for anything else.
If you are unhappy with how we have handled your personal data, you can complain to the Information Regulator (South Africa) at inforegulator.org.za.
9. Information Officer
Our Information Officer under POPIA is Willem Jacobs, registered with the Information Regulator. You can reach the Information Officer at privacy@rsvpsorted.co.za.
10. Changes to this policy
We may update this policy from time to time. Where a change is material, we will give notice, for example by email or a notice in the app, before it takes effect.
